Welcome to Circle Doors (“we”, “us”, or “our”). These Terms and Conditions (“Terms”) govern your access to and use of our software, services, website, and applications (together, the “Platform”).

By creating an account, using the Platform, or subscribing to any of our services, you agree to be bound by these Terms. If you do not agree, you must not use Circle Doors.

1. About Circle Doors

Circle Doors is a cloud-based property management platform that provides landlords, letting agents, and housing providers with tools to manage properties, tenants, compliance, maintenance, and communication.

2. User Eligibility

You must be at least 18 years old and legally capable of entering into contracts to use our services. By using Circle Doors, you confirm that the information you provide is accurate and that you are acting on behalf of yourself or a registered business.

3. Account Registration

To access key features, you must create an account. You agree to:

  • Keep your login details secure and confidential

  • Ensure the information provided is accurate and updated

  • Notify us immediately of unauthorized use of your account

We reserve the right to suspend or terminate accounts that breach these Terms.

4. Subscription & Payment

Circle Doors may offer free trials, monthly or annual subscription plans. By subscribing, you agree to:

  • Pay all applicable fees, billed in advance

  • Allow automatic renewals unless canceled prior to the renewal date

  • Provide accurate billing information

We reserve the right to change pricing with prior notice. Payments are processed securely via third-party providers.

5. Use of the Platform

You agree not to:

  • Use the platform for illegal, harmful, or fraudulent purposes

  • Interfere with or disrupt our servers or infrastructure

  • Upload malicious code or attempt to reverse-engineer the platform

  • Resell or sublicense the platform without written permission

You retain all rights to your own uploaded data, and grant us a limited license to process it as necessary to deliver our services.

6. Intellectual Property

All intellectual property on the Platform (excluding your content) is owned by Circle Doors or our licensors. This includes logos, designs, software, text, and graphics.

You are granted a limited, non-transferable, revocable license to use the Platform for its intended purpose. You must not copy, reproduce, or distribute our content without written permission.

7. Data Protection

We process your personal data in accordance with our Privacy Policy. By using the Platform, you consent to such processing and warrant that all data provided is accurate.

You are responsible for ensuring that your use of Circle Doors complies with data protection laws when storing or processing tenant or third-party information.

8. Service Availability

We strive to maintain continuous access to the Platform but cannot guarantee uninterrupted service. Planned maintenance or outages may occur, and we reserve the right to suspend access temporarily for security, performance, or legal reasons.

9. Limitation of Liability

To the maximum extent permitted by law:

  • Circle Doors is not liable for indirect, incidental, or consequential losses

  • Our total liability for any claim will not exceed the amount paid by you in the last 12 months

  • We are not responsible for loss of data, revenue, or business due to reliance on the platform

You agree to use the platform at your own risk.

10. Termination

You may cancel your account at any time. We may suspend or terminate your access if:

  • You breach these Terms

  • Required payments are not received

  • We are legally required to restrict access

Upon termination, your access to the platform will cease and we may delete your data in accordance with our retention policy.

11. Modifications

We may update these Terms from time to time. When we do, we will update the “Last Updated” date and notify you where appropriate (e.g. by email or in-app). Continued use of the Platform after changes means you accept the updated Terms.

12. Governing Law

These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England.
